Executive Assistant


The Executive Assistant supports the Director of Strategic Engagement to keep a clear and focused path for leadership priorities. As a servant-hearted, action-oriented team member, your role is to stay five steps ahead by anticipating daily needs at an exceptionally high level.

Your top-notch organizational skills will be essential to managing a variety of tasks and personalities in a fast-paced environment, whether planning projects or getting them done. You will handle schedules, write emails, prepare agendas and produce documents to a T.

When barriers arise, you will find ways to keep moving forward because you enjoy discovering tools and processes for working smarter and better. You must also be a good listener and clear communicator who shows discernment and maintains confidentiality.

Keep a Clear Path for Leadership Priorities
• Anticipate and manage calendar items and logistics to align with stated priorities and ensure their thoughtful preparation and
• Provide daily email and communication support, including discretion to deliver or respond to communication-related to key
influencers in the Valor community
• Plan meetings, including booking space, arranging catering, creating agendas, managing invitations and responses, and the like
• Track and submit credit card and expense reimbursement receipts on or before the due date

Produce Presentation-Ready Documents and Reports in Advance
• Compile, format and proofread documents for a variety of purposes, including light research and content gathering
• Prepare and format documents, reports, PowerPoint slides, or other materials required for planning, presentation or record-keeping, according to Valor brand standards and allowing for advance review and refinement
• Maintain requested organizational and document management systems

Coordinate Key Relationship Communications and Activities
• Ensure timely leadership and donor communications and acknowledgments
• Monitor and prompt regular tracking of key parent and donor relationships associated with school leadership priorities and initiatives
• Support scheduling, planning, communication and preparations of special events and gatherings
• Follow Valor standards and best practices in the use of school data systems and integrations

Pursue Professional and Personal Growth
• Stay up-to-date on productivity tools and develop proficiency to sustain individual and team excellence


• Strategic Engagement team, including Marketing and Communications, Admissions, Donor Relations and Community Relations with
parents and alumni
• Head of School, Cabinet members, Board of Education and Board of Trustees
• Representatives of all school departments
• Parents, students and alumni
• External contacts with vendors and leaders of other schools and nonprofit organizations


• Strategic Engagement operations are prioritized and organized, and therefore relationships strengthened throughout the Valor
• Cohesive teamwork is supported to fulfill annual goals in Marketing and Communications, Admissions, Donor Relations and
Community Relations and celebrate their outcomes
• Donors are inspired and appreciated as relationships are nurtured, advocates are developed and funding needs are met


Education and Experience
• Bachelor’s degree in business, marketing or a relevant field
• 5+ years in administrative work for a nonprofit organization
• Experience in board and/or donor relations is a plus, but not required

Skills and Software
• Exceptional responsiveness in customer service
• Excellent organizational skills and attention to detail
• Strong communication skills, oral and written
• Quick, self-motivated ability to learn new software and systems
• Proficiency with Mac computers, Microsoft Office (Word, Excel, PowerPoint) and Google Suite (Mail, Drive, Calendar)
• Proficiency with spreadsheets, donor/customer data systems and mail merge document creation
• Preferably also familiar with project management systems such as BaseCamp 3
